Billing & Payment Terms

1. Plan Overview
BidHelm is offered through paid plans only. Every account must select a plan to activate optimization.
Starter: $29/month base fee + 4% of managed ad spend + AI usage fees (see Section 2). 1 ad account, 3 campaigns, 500 keywords.
Growth: $79/month base fee + 3% of managed ad spend + AI usage fees. 2 ad accounts, 15 campaigns, 5,000 keywords. Includes Performance Max optimization and product-feed-aware Shopping optimization (Merchant Center connection required for product-feed features).
Scale: $249/month base fee + 2% of managed ad spend + AI usage fees. 7 ad accounts, 50 campaigns, 20,000 keywords. Includes everything in Growth plus autonomous campaign creation. No contracts.
Agency: Custom contract starting at $799/month with a reduced spend percentage. Includes unlimited ad accounts, white-label options, and a dedicated CSM. Available through sales only.
Yearly billing: Each tier (other than Agency) is also available on a yearly cycle at an effective 20% discount, billed once annually. Usage-based fees described in Section 2 are still measured monthly.
All paid plans include 24/7 autonomous AI optimization — campaigns are activated, paused, scaled, and restructured automatically. Full access to Alex AI autonomous chat, AI marketing material creation, budget scaling, keyword management, negative keyword automation, waste elimination, winner scaling, CPA optimization, performance reporting, and savings tracking. Feature availability beyond this baseline varies by tier as described above and on the pricing page.
All plans are billed on a monthly cycle (or yearly where elected). Any references to weekly billing elsewhere are outdated and superseded by this document and the Terms of Service.
2. AI Usage Fees
In addition to the base fee and spend percentage, all paid plans are charged AI usage fees that cover our AI infrastructure costs. These are passed through at cost with no markup.
- Per campaign monitored: $0.08 / campaign
- Per optimization made: $0.03 / optimization
- Per keyword analyzed: $0.007 / keyword
- Per search term analyzed: $0.005 / search term
AI usage fees are measured each month and charged alongside your base fee. On yearly plans, the base fee is paid annually but usage fees are still measured monthly. If you pause the Service, AI usage fees stop accruing for the paused period. You can view a real-time estimate of your accrued AI usage fees at any time in your dashboard under Billing → Usage.
BidHelm reserves the right to introduce, modify, or remove AI usage fee line items at any time. Fee changes take effect immediately upon update to this page. Continued use of the Service after any fee change constitutes acceptance of the updated fees. It is your responsibility to review current fees before using features that incur usage charges.
3. What Counts as Managed Ad Spend
“Managed ad spend” is the total Google Ads spend across all campaigns in all accounts connected to BidHelm during a billing period.
Included — we monitor and are billed for:
- Active campaigns — all currently running campaigns
- Paused campaigns — campaigns that are paused are still monitored by Alex AI, which may activate, adjust, or take action on them at any time. Paused campaigns are included in managed spend calculations.
- All campaign types: Search, Shopping, Display, Video, Performance Max, and others
- All connected Google Ads accounts, including client accounts managed through BidHelm
- Campaigns you have excluded from direct automation — monitoring still applies
Not included:
- Permanently deleted campaigns (removed from Google Ads entirely)
- Google Ads accounts not connected to BidHelm
- Accounts disconnected before the billing period began
Spend figures are pulled from the Google Ads API at the end of each billing period. Google's API-reported figures are the authoritative reference for any dispute. We strongly recommend setting Google Ads budget caps in your Google Ads account. BidHelm is not responsible for unexpected spend increases, and fees are calculated on actual spend regardless of cause.
4. Billing Cycle
Your billing cycle starts the day you activate your plan. Monthly plans repeat every 30 days; yearly plans repeat every 365 days, with usage-based fees still measured and charged monthly. At the end of each period:
- We calculate total managed ad spend from the Google Ads API
- We calculate base fee + spend fee + accrued AI usage fees
- We charge your payment method on file
- You receive a billing confirmation by email
If you start or upgrade a plan mid-cycle, the first billing period is pro-rated for the remaining days of that cycle.
5. Payment Methods
All payments are processed by our third-party payment provider, a fully regulated payment institution that also acts as Merchant of Record for your transactions. BidHelm does not store full card numbers. By adding a payment method, you authorize our payment provider on behalf of BidHelm to charge your payment method on a recurring basis for as long as your plan is active. Update your payment method anytime under Billing in your dashboard.
6. Failed Payments
If a recurring charge fails, our payment provider will attempt to retry the charge according to its standard retry schedule. You will be notified by email of any failed payment. If payment remains unresolved after all retry attempts, your access to paid features will be suspended until the outstanding balance is paid.
Suspension stops Alex AI from making automated changes but does not cancel your subscription. You must cancel explicitly in your dashboard. You remain liable for all outstanding amounts. BidHelm is not responsible for the specific timing or number of retry attempts, which are governed by our payment provider's policies.
7. Pause & Cancellation
7.1 Pausing
Where the dashboard exposes a pause option for your plan, you may pause at any time. When paused:
- Alex AI stops all automated optimization changes immediately
- AI usage fees stop accruing
- The base fee and spend percentage continue to apply for any spend that occurred before the pause took effect in the current billing period
- Your account data and campaign history are fully retained
- Resume at any time — no new subscription required
7.2 Cancellation
Cancel your plan at any time through your dashboard under Billing → Cancel plan. Cancellation is immediate upon confirmation.
- No further charges after the cancellation date
- Alex AI stops all automated changes immediately
- Campaign history retained for 30 days then may be permanently deleted
Cancellation does not disconnect your Google Ads account. To revoke BidHelm's access entirely, do so at myaccount.google.com/permissions.
8. Refund Policy
All fees are non-refundable.
We do not issue refunds for: the current or any prior billing period, periods of non-use, dissatisfaction with optimization outcomes or campaign performance, partial billing periods, or periods of Service unavailability.
Limited exception: We may, at our sole discretion, issue account credits (not cash) for verified complete Service outages exceeding 72 consecutive hours solely attributable to BidHelm's own infrastructure. This is purely discretionary and sets no precedent.
9. Disputed Charges
If you believe a charge is incorrect, email billing@bidhelm.com within 30 days with your account email, the charge date, and the reason. We respond within 5 business days. To resolve issues quickly, please contact us before contacting your bank. In spend disputes, Google's API-reported data is the reference; we provide a full breakdown on request.
10. Price Changes
BidHelm reserves the right to change any fees — including the monthly or yearly base fee, spend percentage rate, AI usage fees, or any other charges — at any time, effective immediately upon update to this page and/or your account dashboard.
Where practicable, we will endeavor to notify active subscribers of material price increases by email, but we are under no obligation to provide advance notice. It is your responsibility to review current pricing before each billing period. Continued use of the Service after any price change constitutes your acceptance of the updated pricing. If you do not accept new pricing, your remedy is to cancel or pause your subscription.
11. Taxes
All taxes, levies, and duties applicable to your use of the Service are managed and collected by our payment provider, which acts as Merchant of Record for your transactions. The payment provider is responsible for calculating, collecting, and remitting applicable taxes including VAT, GST, and sales tax based on your billing location. Tax amounts, where applicable, will be itemized on the invoice issued by the payment provider.
